Staffing a padel club is often planned around a rough sense of "front desk plus coaches" rather than a deliberate mapping of which roles are truly needed at opening versus which can be added once occupancy justifies the cost.

Core Roles From Day One
A general manager or owner-operator overseeing daily operations, front desk staff to handle bookings, payments, and customer service during staffed hours, and basic maintenance coverage (in-house or contracted) are the roles no club can open without, everything else can reasonably be phased in. Coaching staff are also typically needed from day one if coaching is part of the revenue mix (covered in our revenue projections guide), since building a coaching program after opening is considerably harder than launching with it.
Roles That Can Wait
A dedicated marketing or community manager, a full-time maintenance team rather than contracted coverage, and specialized roles like a pro shop manager or event coordinator can usually wait until occupancy and revenue justify the added headcount. Staffing Ratios as Occupancy Grows
Front desk and operational staffing needs to scale with both occupancy and hours of operation, not stay fixed at opening-day levels, a club running near capacity during peak hours needs meaningfully more coverage than one still building its base. Reviewing staffing levels against actual occupancy data every few months, rather than only when problems surface, keeps the club appropriately staffed without carrying excess payroll during slower periods.
Full-Time vs Part-Time vs Freelance
Front desk and management roles generally benefit from full-time consistency, since customer relationships and operational knowledge build over time. Coaching often works well as a freelance or revenue-share arrangement (covered in more detail in our coaches and academy model guide), which keeps fixed costs lower while still building a strong program. Maintenance and cleaning are frequently outsourced to specialized contractors rather than hired in-house, particularly for a single-location club where the volume doesn't justify a dedicated employee.
Common Staffing Mistakes
Overstaffing at opening based on optimistic occupancy projections is one of the most common and costly mistakes, since payroll is one of the hardest costs to reduce quickly once committed. Understaffing peak hours to save cost is the opposite mistake, and it shows up directly in customer experience and reviews during exactly the hours that matter most for word-of-mouth growth.
